Custom software or an off-the-shelf tool? How to choose

Title card reading "Build or buy business software?"

“Should we buy something or build something?” is the first question we ask on most projects, and answering it honestly saves a lot of money.

Buy off the shelf if…

  • Your process is standard, the same as most companies in your field.
  • A tool exists that does 90% of what you need without awkward workarounds.
  • The monthly price stays reasonable as your team and data grow.
  • You do not need it to connect to other systems you rely on.

Build custom if…

  • Your team keeps working around the software: spreadsheets on the side, double entry, manual copy-and-paste.
  • The way you work is part of what makes your business competitive.
  • You need several systems to share data automatically.
  • Per-user licence fees are growing faster than the value you get.
  • You need full control over your data, your access rules and your future.

Start small

Custom does not have to mean big. The best projects begin with the one process that costs you the most time, solve it well, and grow from there. You see value in weeks, not after a year-long project.

A middle path

Often the right answer is a mix: keep the tools that work, and build the connections and the missing pieces around them.
